2. Information you may provide
A contact or audit enquiry may include your name, work email, role, organisation, general location, preferred service, timing and message. If you ask for a phone reply, it also includes your phone number. If you book work, further business, contract and audit information may be used under the agreed plan and secure working arrangements.
Use your own business contact details so we can reply. Do not include names of people receiving care, health information, care records or confidential case details. Secure arrangements for sharing records are agreed separately.
3. How the website forms and tools work
The contact and audit enquiry forms send the details you enter through this website to GR Safi’s email mailbox. They do not open your email app. Review your details before pressing Send. The website shows a confirmation after the message has been accepted for delivery; this is not a confirmed appointment or a guarantee of a reply by a particular time.
Enquiry names, email addresses and message text are not kept in a website database or form log. Short-lived technical records help prevent spam and duplicate submissions. The website host and email provider handle the submission and delivery. Messages received in the mailbox are kept as described below.
The readiness check and audit planner calculate results on your device. This website does not upload your answers, save them to an account or add them to analytics.
The four working checklists can save your choices and notes in this browser, using local storage, so they remain on the same device. This information is not sent to GR Safi. Do not enter personal, care, staff, health or other confidential information, especially on a shared device.
If you choose “Use this plan in an enquiry”, an anonymous summary is held briefly in this browser so the enquiry page can fill it in. It is removed after loading and is normally cleared when the browser session ends. The summary is not sent to GR Safi unless you review the enquiry and press Send.

This removes only information saved by GR Safi tools in this browser. It does not clear other website data, browser history or enquiries you have already sent.
4. Why information is used
Information you send may be used to answer your enquiry, understand the work you need, prepare a quote, arrange and deliver the service, keep necessary business records, protect communications and meet legal or professional duties.
The main legal reasons are taking steps you ask for before a contract, carrying out a contract, legitimate interests in running and protecting the consultancy, and meeting a legal duty where required. Your information will not be used for unrelated marketing without a valid legal reason.
5. Who information may be shared with
Information is not sold. It may be handled by email, website hosting, IT, administration or professional advisers when needed. It may also be shared when the law requires it or to deal with a legal claim. Some technology suppliers may process technical or account data outside the UK. Where this happens, the safeguards required by law will be used.
Fonts, icons and design files are served from this website, not from outside font or delivery services. The website host may still receive basic technical details such as your IP address, browser, the file requested and the time of access.

7. How long information is kept and how it is protected
Information is kept only for as long as it is reasonably needed. This depends on the enquiry or booked work, contract and accounting needs, the law, security and possible disputes. When it is no longer needed, it is securely deleted or changed so it no longer identifies anyone.
Reasonable working and technical safeguards are used, but ordinary email and public website forms are not suitable for care records or sensitive personal information such as health data. Report a possible website security issue through the published security contact or through the contact form.
8. Your rights
Depending on the circumstances, UK data-protection law may let you ask to see, correct, delete, limit, move or object to certain uses of your personal data.
